We recognize that one of the most important factors in document reproduction services is the speed with which orders are filled. Sierra InfoNet has developed a process of completing orders that we believe give our clients unmatched timeliness in the delivery of their requests.

Timeliness Through Design

Sierra InfoNet has designed all of its procedures, from order entry through delivery of records, to minimize delay while maximizing quality. Documents required to implement an order, such as subpoenas or other release documents, are typically prepared on the day the order is received and served on the custodian on the following day, whenever immediate service is possible under applicable law.

Rush orders and even emergency rush orders can easily be processed if required. However, where a legal or other impediment would prevent a rush order from saving time (such as where a statutory waiting period exists) we will tell you that to save you a premium charge.

We are capable of special handling of orders, including hand delivery, anywhere in Southern California. We have Field Agents in all seven Southern California counties every day--not just Los Angeles and Orange but Riverside, San Bernardino, San Diego, Ventura and Imperial--ready to serve documents or copy records at any location, including more remote areas like Lancaster and Palmdale.

Unlike with some photocopy companies you do not have to wait for our route schedule to fit your geographic needs. Importantly, since we cover such a large area on a daily basis, we never charge for mileage.

Our appointment scheduling staff promptly contacts custodians by telephone to confirm names, addresses, hours and availability of records. After service of release documents we call the custodian again to set the earliest possible appointment to copy. This scheduling process saves not only time but costs since it minimizes the times trips to the field are made and insures that those trips that are made are effective.

Timeliness Through Technology

One of Sierra InfoNet's biggest advantages in quickly filling orders is through the use of our in-house microfilm processing and printing capability--something many others do not have. Sierra InfoNet uses its own on-site microfilm processors and Copy Flo machines to develop microfilmed negatives and print the records on the same day the records were copied. The printed records are then shipped (hand delivered if requested) the next business day.

With this in-house capability our clients never have to endure the inherent delays caused by having a third party process microfilm or print documents--a very common practice with photocopy companies. Also, because we maintain our own equipment, we can keep the quality of the reproductions at the highest level--the only level we ever use--without relying on someone else to establish our standards.

Sierra InfoNet is well known for its turnaround time. On authorization-based orders we consistently ship 80% of orders within 14 calendar days and 95% within 21 calendar days. For large scale requests our turnaround time is an industry standard. Sierra InfoNet prints over 30,000 microfilmed pages per day and has the current capacity to double that figure. For non-microfilmed records (paper to paper reproduction) we can produce 25,000 pages per day on a "file reproduction" basis. Original records and copies are returned organized and bound as they were received. Pages can be numbered on the original or the copy.

In addition, our computer technology, constantly being refined by our Information Management Staff and updated with the latest hardware, permits precise tracking of the status of every order from day one through completion. This permits us to monitor exactly when the earliest possible production date will be, where we are in the process of completion and to respond almost instantly to inquiries. Moreover, where there is a delay or a problem we will keep you informed.

Utilized properly size translates to speed. With the number of people we have employed in operations--from Field Agents to production staff--we can complete requests on your schedule, no matter what the size or scope of the request. However, it takes the coordinated effort of our entire staff to maximize our speed and output while maintaining quality and cost effectiveness.
